Three Tips to Help You Plan the Perfect Party Invitation

Whether you’re planning a special birthday party, a once-in-a-lifetime anniversary celebration or an open house for your business, the invitation sets the stage for your event.

From concept to design and from printing to mailing, you want your invitation to be original, memorable and budget-friendly.

“As the old saying goes, ‘you don’t get a second chance to make a first impression,’” says Christy Johnson, manager of Shreveport-Bossier’s Hilburn Printing. “That goes for invitations too. Whether you’re inviting folks to a wedding, a tailgate party or a baby shower, you want to put your best foot forward with your invitation.”

Here are three tips from Hilburn Printing to help with that.

Tip #1: Plan Your Invitation Schedule
Be sure to get your invitations out well in advance to help prevent schedule conflicts.

For birthday parties, anniversaries, and similar events, mail your invites 3-4 weeks out. If out-of-town guests are coming, send 6-8 weeks in advance.

If you’re preparing for a wedding: mail ‘Save The Date’ cards 6-9 months out and mail invitations 6-9 weeks prior to the wedding.

Work backwards from your date to ensure that your invitations are ready when you need them.

  • For weddings, consult with a designer and printer 7-10 months from the date.
  • For simpler events, meet with a designer and printer 2-4 weeks ahead of your mail date.

Tip #2: Proof It Well
There’s nothing worse than your guests showing up on the wrong day, at the wrong address, or in casual attire at a formal occasion. Believe it or not, it happens!

Do your best to prevent errors and typos by insisting on seeing a proof of your invitation and asking a couple of friends to look at it.

Double-check the:

  • Spelling of names
  • Date
  • Address
  • All other pertinent details.

You can’t prove, er – proof – too carefully!

Tip #3: Stick With Your Favorite Designer and Printer
Once you find a graphic designer and printer you like, stick with them.

Develop those relationships and they’ll pay big dividends such as:

  • Continuity: Your pieces maintain a consistent look and feel from project to project.
